We are looking to hire a part time Office Assistant to join our team at our Bristol HQ on a fixed-term contract of up to 12 months, with some flexibility for the right candidate.

Delib is a global digital democracy company of around 25 people, providing digital tools to connect citizens with government. We have staff based in central Bristol, Australia and New Zealand. We are a well-established and growing business with a friendly open-plan working environment, complete with office dog.

The priority is to provide cover for the full time Office Manager when needed. The role is minimum 20 hours per week, with expected fixed working hours of 9.00 – 1:30 pm on Tuesdays and 9.00-5.30pm Thursday and Friday. Flexibility is key and we may occasionally request to move your days or hours around to provide cover. We will always give as much notice as possible, although sometimes things may come up last minute. Likewise, we will also try to be flexible should you have any requests.

You will be line managed by Kim, our Office Manager. The role will involve a range of office support tasks, which will vary according to the needs of the business. You must be adaptable and willing to provide support wherever required. You will be the first point of contact for incoming calls therefore it is essential that you are confident and experienced in providing excellent reception service.

Any prior administration or similar office experience would be beneficial, along with good levels of computer literacy. Please note that there are some physical tasks to cover, such as running errands, collecting deliveries and improving the working environment. A practical brain and a can-do attitude are essential. You will be expected to problem solve and make yourself useful in line with the needs of the office, which can vary from day to day.

Main Duties:

  • Administrative and Receptionist cover for full time Office Manager including being a keyholder and opening the office
  • Deal with incoming calls in a polite, efficient and friendly manner
  • Provide administrative support for other team members
  • Sign for deliveries, collect and distribute post
  • Keep office and kitchen tidy and well stocked
  • Reactive office environment support including dealing with repairs, building issues and building managers
  • Other miscellaneous admin, finance and facilities duties

The above tasks are not exhaustive.

Skills and experience we are looking for:

You are there to make sure that other people can do their job and to keep the ship running, from making sure there is enough tea and coffee to being an emergency keyholder and everything in between. Confidence working with all members of the team is essential as is a friendly manner and a no-job-too-small approach. The following would also be beneficial:

  • Self-motivated and the ability to work independently without close supervision. A proactive approach is key.
  • Excellent computer skills and ideally proficiency with Apple macs.
  • A positive attitude to tasks with good time management and organisational skills.
  • General administration experience, good attention to detail and excellent written skills.
